Trucking Dispatcher & Fleet Coordinator

Davis Construction, Inc. is seeking a highly organized and experienced Trucking Dispatcher & Fleet Coordinator to manage the efficient, compliant, and timely movement of equipment, materials, and trucking resources across multiple bridge construction projects. This role serves as the central communication hub between project managers, field staff, mechanics, drivers, vendors, and regulatory agencies. You will ensure all mobilizations, deliveries, and fleet activities meet MDOT, FMCSA, interstate, and State of Michigan requirements while supporting field productivity and project schedules.

Dispatch & Daily Operations

• Coordinate in-state and out-of-state equipment moves, including multi-state permitting.
• Schedule and dispatch trucks, lowboys, and drivers for equipment and material moves.
• Coordinate hauling of heavy machinery (excavators, dozers, cranes, attachments), rental equipment, and aggregates.
• Review axle configurations, spacing, and weight distribution to ensure legal loads.
• Identify when additional axles or jeeps are required.
• Validate routes for bridge limits, seasonal restrictions, closures, detours, and frost laws.
• Track drivers and manage delays, reroutes, and breakdowns.
• Maintain dispatch logs, schedules, and move sheets.

Fleet Compliance & Permitting

• Obtain and manage MDOT oversize/overweight permits, county permits, and annual/blanket permits.
• Maintain fleet licensing, titles, registrations, IRP, and IFTA documentation.
• Manage FMCSA compliance including DQ files, medical cards, endorsements, MVRs, Clearinghouse checks, and drug/alcohol testing requirements.
• Track seasonal weight restrictions and frost laws.
• Maintain audit-ready digital and physical compliance files.

SOS & Agency Coordination

• Visit the Secretary of State for title transfers, plates, temporary permits, and corrections.
• Maintain SOS business accounts and track VINs, unit numbers, and expiration dates.

Systems, Portals & Technology

• Manage MDOT MiLogin portals and permit systems.
• Use county permitting portals and third-party routing systems.
• Track approvals, escorts, route restrictions, curfews, and other limitations.
• Monitor telematics/GPS for equipment location and availability.

Equipment, Yard & Asset Support

• Maintain the fleet list of trucks, trailers, equipment, and attachments.
• Track insurance certificates, cab cards, and ownership documents.
• Coordinate with mechanics and yard staff for equipment staging, fueling, washing, and readiness.
• Track rental equipment deliveries/pickups and verify charges.

Driver Coordination

• Assist with onboarding new drivers and explaining policies, procedures, and routes.
• Track PTO and driver availability.
• Communicate recurring issues to management.

Administrative & MDOT Documentation

• Track permit fees, licensing costs, and renewal schedules.
• Provide IRP, IFTA, and fuel-tax documentation to accounting.
• Collect and review aggregate delivery tickets and scale tickets for MDOT compliance.
• Verify required fields: material type, supplier, gross/tare/net weights, timestamps, truck numbers, project info.
• Match quantities to dispatch logs and resolve missing/incorrect tickets.
• Maintain audit-ready ticket files.
